SPACE RENTAL AGREEMENT

This Space Rental Agreement (“Agreement”) is entered into between Whatcom Family Village LLC (“WFV”) and the individual or organization renting the space (“Renter”).

1.PURPOSE OF RENTAL

Whatcom Family Village offers its space for private events including, but not limited to, birthday parties, baby showers, bridal showers, community gatherings, and private classes or workshops.

Alcohol is not permitted at any event.

2. RENTAL RATE AND TIME

Rental Fee: $150 for a 3-hour rental
Minimum Rental Time: 3 hours
Rental time includes setup and cleanup time

Additional hours can be added for $40/hr.
Maximum Occupancy: 50 people

The rental includes use of the following areas:

  • Main space

  • Play area

  • Kitchen

  • Lobby

  • Bathrooms

Private offices are excluded from rental use.

3. PAYMENT AND CANCELLATION POLICY

Full payment is due at the time of booking via the link provided by Whatcom Family Village.

When possible, we are happy to work with you to reschedule events when emergencies come up. 

Cancellation Policy:

  • Full refund if canceled 14 days or more before the event

  • 50% refund if canceled between 14 days and 48 hours before the event

  • No refunds for cancellations within 48 hours of the event

4. USE OF SPACE AND CLEANUP

The Renter is responsible for:

  • Cleaning up after the event, including dry mopping main space and vacuuming carpeted areas (located in storage area)

  • Taking trash and recycling to the bins located at the back of the building

  • Returning all furniture and equipment to their original setup

Damage is defined as anything permanently harmed or altered (including walls, floors, or furniture), or any mess requiring more than 10 minutes of additional cleaning by Whatcom Family Village staff.

If extra cleaning is required, a flat fee of $100 will be charged.

Broken or missing items will be billed at replacement or repair value.

5. CHILD SUPERVISION

All children must be actively supervised at all times by a parent, guardian, or an assigned adult.

Whatcom Family Village staff are not present during rentals and do not provide child supervision. The Renter assumes full responsibility for the safety and behavior of all attendees.

6. LIABILITY, WAIVER, AND INSURANCE

The Renter agrees to sign Whatcom Family Village’s liability waiver as part of the booking process.

By renting the space, the Renter assumes responsibility for all risks associated with use of the space and agrees to hold harmless and indemnify Whatcom Family Village LLC from any claims, injuries, or damages arising from the event, except in cases of gross negligence.

Event insurance is recommended but not required.

7. DECORATIONS, SUPPLIES, AND RESTRICTIONS

Allowed:

  • Secured balloons 

  • Decorations hung using paint-safe tape only

  • Outside food

Not Allowed:

  • Candles or open flames (besides birthday candles)

  • Animals

  • Acrylic paint or permanent markers or other items which stain

  • Alcohol

8. ITEMS PROVIDED BY WHATCOM FAMILY VILLAGE

The following items are included with the rental:

  • One large table

  • Two small tables

  • Ten folding chairs

  • One small children’s table with chairs

  • One dinette-style table with chairs

  • Couches and Family Seating

  • Foam floor mat

  • Children’s toys and access to the play area

  • Bluetooth speaker

  • Projector or small display (by request)

  • Access to basic cleaning supplies

10. AGREEMENT AND SIGNATURE

By signing digitally, the Renter acknowledges that they have read, understood, and agree to all terms outlined in this Space Rental Agreement.
